How ReturnLoop operates within legal and regulatory frameworks

ReturnLoop is designed to support salons, clinics, and service-based businesses with structured client follow-up after appointments that have already taken place. The service operates within a clearly defined scope and is not a marketing platform, booking system, or CRM replacement.

Service-related communications

Messages sent via ReturnLoop are service-related communications, not promotional marketing campaigns. All messages:

  • Relate to appointments or services already completed
  • Are sent at appropriate intervals following a client visit
  • Follow a structured and finite message sequence
  • Include a clear opt-out option by replying STOP
  • Automatically stop once the sequence is complete

ReturnLoop does not send bulk promotions, advertising campaigns, or unsolicited marketing messages.

Data protection roles

When ReturnLoop is used by a salon or business:

  • The salon or business remains the data controller
  • Booking Butler Ltd, operator of ReturnLoop, acts solely as the data processor

Personal data is processed only on the documented instructions of the business and exclusively for service-related follow-up purposes.

SMS delivery

SMS messages may be delivered using shared service numbers operated by ReturnLoop. These numbers function purely as a technical delivery mechanism for sending service-related communications on behalf of individual businesses.

Use of shared messaging infrastructure does not transfer ownership or control of customer data and does not alter the business's role as data controller.

Data usage and minimisation

ReturnLoop processes only the minimum data required to deliver the service. This may include:

  • Client first name
  • Mobile phone number
  • Appointment or visit timing
  • Service or visit category
  • Client response status

ReturnLoop does not process payment information, home addresses, dates of birth, or sensitive personal data. Client data is never sold, shared for marketing purposes, or reused outside delivery of the service.

Client care and follow-up responsibility

ReturnLoop supports structured follow-up after services already delivered to clients. Once the defined message sequence has completed, communication automatically stops unless further contact is initiated by the business.

This approach allows businesses to maintain consistent client care while avoiding ongoing messaging or manual follow-up processes.
